Role summary

This role will involve ensuring that customers receive excellent service and supporting the Head of Supply Chain with stock management, supply chain operations, and finance admin tasks. Handling customer inquiries through Gorgias, resolve order issues, and manage various admin tasks to keep operations running smoothly.

Responsibilities

Key Responsibilities Include:

  • Supply Chain Management: Perform general administrative duties like data entry, report generation, and inventory management. This includes posting invoices on Xero and raising purchase orders for supplier orders.
  • Warehouse Management: Work with our warehouses to prepare orders, manage the warehouse portal to accept orders, update packing lists and shipping notifications, and track delivery statuses.
  • Stock Management: Monitor inbound and outbound stock from warehouses and set up new products in our system and with warehouses.
  • Retail Order Management: Manage trade orders from retailers, ensuring they reach our partners and resolving any issues.
  • Stock Reporting: Collaborate with the Head of Supply Chain to place timely supplier orders and track live stock reports.
  • Customer Support: Handle customer queries through Gorgias, ensuring timely and effective solutions.
  • B2C Order Management: Assist customers with their orders, track shipments, and manage returns, refunds, or exchanges via Shopify.
  • Issue Resolution: Address customer complaints, product issues, and service-related inquiries.
  • Collaboration: Work closely with other departments, including marketing and the warehouse, to ensure a seamless customer experience.
  • Documentation: Maintain accurate records of customer interactions and transactions, and prepare regular reports on customer service activities.

Qualifications:

  • Gorgias: Proficiency in Gorgias for customer service management is essential.
  • Shopify: Familiarity with Shopify for handling orders and customer accounts is preferred.
  • Communication Skills: Excellent verbal and written communication skills to effectively interact with customers and team members.
  • Problem-Solving: Strong problem-solving skills to quickly and efficiently resolve customer issues.
  • Organizational Skills: Exceptional organizational skills and attention to detail to manage multiple tasks efficiently.
  • Customer-Centric Attitude: A positive, customer-first attitude with a genuine desire to help.
  • Attention to Detail: Everything we do must be accurate and precise, reflecting the quality of our products.
  • Supply Chain Experience: Prior experience in supply chain or merchandising functions.
  • Decision-Making: Ability to make logical decisions under pressure.
  • Time Management: Ability to prioritize multiple objectives and manage time effectively.
